Why You Need a Checklist

Signage projects move from planning to fabrication in stages. Once production starts, changes become expensive — new materials, revised schedules, and installation delays. A planning checklist catches gaps before they reach the fabricator.

The Signage Planning Checklist

Phase 1: Project Setup

  • [ ] Define project scope (building type, number of floors, zones)
  • [ ] Set up sign categories (Directional, Identification, Informational, Regulatory)
  • [ ] Create sign codes with specifications (dimensions, material, finish, mounting)
  • [ ] Establish naming conventions and code patterns
  • [ ] Confirm colour system and typography standards
  • [ ] Review accessibility requirements (ADA/DDA compliance)

Phase 2: Spatial Planning

  • [ ] Obtain current architectural floor plans for every level
  • [ ] Upload floor plans into the planning workspace
  • [ ] Identify all decision points on each floor
  • [ ] Place sign markers at every required position
  • [ ] Verify coverage of all vertical transitions (lifts, stairs, escalators)
  • [ ] Check basement, rooftop, and service area coverage
  • [ ] Confirm emergency egress route signage on every floor

Phase 3: Documentation

  • [ ] Generate the complete sign schedule
  • [ ] Review schedule for duplicate codes or missing locations
  • [ ] Generate the BOQ from placement data
  • [ ] Cross-check BOQ quantities against floor plan markers
  • [ ] Export schedule and BOQ for client review

Phase 4: Review and Approval

  • [ ] Internal review by planning team
  • [ ] Client review and markup
  • [ ] Architect or interior designer sign-off
  • [ ] Regulatory compliance verification
  • [ ] Final approval and release to fabricator

Common Gaps the Checklist Catches

  • Missing floorsMechanical levels, rooftops, and service corridors are frequently overlooked
  • Incomplete specificationsSign codes created without material or dimension data delay fabrication quotes
  • No emergency signageFire exit routes and accessibility signs missed until compliance review
  • BOQ mismatchSchedule shows 47 signs but BOQ totals 43 because of a counting error
  • No stakeholder sign-offFabrication starts without client approval, leading to disputes

When to Use This Checklist

Run through the checklist at three points:

1. **Mid-planning** — After initial placement, before detailed review

2. **Pre-submission** — Before sending documentation to client and fabricator

3. **Post-revision** — After any scope change or client feedback
